How to Send Funnel Automatically Using Keywords

This process will help you auto-send a funnel (messages, videos, PDFs, etc.) when a customer sends a specific keyword like “product info.” Great for leads from ads or repeat questions.


🔰 STEP 1: First, Create a Funnel Inside a Quick Reply

➡️ Go to the Quick Reply section of your platform ➡️ Click on Create Quick Reply  📝 Give it a clear name like Product Details Funnel

➡️ Inside that Quick Reply, click Create Funnel

🧰 What you can add inside the funnel:  ✉️ Multiple messages  🎧 Audio clips  🎥 Video files  📄 Documents (PDFs, brochures, etc.)

⚙️ You can also attach Actions that will trigger automatically:  🔁 Add or remove the user from a Group  🏷 Add or Remove a Label  📁 Assign to a Team or Funnel Stage  🕹 These actions run when the funnel gets triggered by the keyword

📌 This funnel is now saved and ready to be linked to your automation (workflow)


🔧 STEP 2: Set Up the Workflow That Will Trigger Your Funnel

➡️ Go to the Workflow section ➡️ Click Create Workflow 📝 Fill in:

➡️ Workflow Name → something like “Auto Reply for Product Info” ➡️ Workflow Status → Turn it ON ✅ ➡️ Execution of Workflow → Select One to One


🧠 STEP 3: Choose Execution Conditions

➡️ In Execute Conditions, select:  ✅ Execute for Selected Keywords  (This means your workflow will only run when specific words are detected)

➡️ On the right side, fill in:  🔑 Add Keywords → type general keywords like:    product, info, brochure, catalogue, price

 🗣 Execute for Specific Words → use longer phrases or variations:    I want product details    Send me the catalogue    Need price info

⚙️ Optional settings you can toggle:  🟡 Case Sensitive → if you want exact word match  📆 Reply on Specific Day → if the funnel should only reply on certain days  🔁 Workflow Execution Count for One to One Chat → control how often it triggers per chat


🔗 STEP 4: Link Your Funnel to the Workflow

➡️ Scroll down to the Send Message section ✅ Toggle ON:  ✉️ Send Message  💬 Show Typing Status  📤 Execute Funnel for Selected Keywords

➡️ Now you'll see a dropdown labeled Select Funnel  🛠 Choose the funnel you just created inside Quick Reply

➡️ You can also enable:  ✅ Mark the conversation as read  🚫 Don't execute when the chat is open (to avoid auto-sending if you're chatting live)


🧩 STEP 5: Optional – Add Other Workflow Actions

Below that, you can also enable:

➡️ Custom Tab Actions → move user to another tab/view ➡️ Group Actions → add/remove from groups ➡️ Kanban Board Actions → move user to a new stage ➡️ Webhook Execution → if you need to send data elsewhere ➡️ Archive Chat or Block Chat if needed

🟢 Someone sends a message with the word:  “Can you send me the product details?”

⚡ The system scans the message 🎯 Matches the keyword or phrase 🚀 Instantly triggers the funnel you set 📨 Sends all messages, media, and performs all actions

You’re running a Facebook or WhatsApp ad. A user replies:

 “Please send me the product catalog.”
